Hotel or hostel: the main checks

Compare the room offers

Ask the property which kitchens, bathrooms, and common areas your group could use, and whether those spaces would be shared with other guests.

Begin with your group's essential requirements. If shared bedrooms are unsuitable, ask both types of property for private-room options. If private dormitories would work, request them explicitly and confirm whether unused beds could be sold to other guests.

Check the proposed room layout

Ask for a written room breakdown or a proposed layout. Read “double,” “twin,” “family,” and “dorm” as starting points for questions about the actual beds and occupancy.

Keep bed sharing and room sharing separate in the request. A traveler who is comfortable sharing a bedroom may still need a separate bed.

For a school group, show the room proposal to the person responsible for the visit before confirming it. Ask about the location of adult rooms, access between floors, other guests in shared areas, and the property's policy for minors. Review the proposed layout through the school's own visit process.

For teams, ask whether equipment can be stored where you need it and whether an early start fits the property's meal and access arrangements. These answers may matter more to your schedule than the property's category.

Record each essential request as confirmed, unavailable, or still awaiting an answer. “We have asked” and “the property has agreed” are different stages of the booking.

Compare the total trip cost

Give each property the same dates, group size, and acceptable room mix. Ask for the total for that arrangement, with the currency and included services clearly stated.

Your comparison should account for:

  • The quoted room allocation, including adult rooms and any rooms reserved for private use.
  • Meals you need during the stay.
  • Linen, towels, storage, or other services where a charge is quoted.
  • Transport needed between the property and your planned activities.
  • The deposit schedule and conditions for changes or cancellation.

Do not choose from a headline “per person” figure until you know which room occupancy and inclusions it assumes. Ask for a revised total if the group size changes.

Record why the selected offer fits your group and any conditions that affected the choice. Keep that note with the written offer so another organizer can understand the decision later.

Choose a location your itinerary can support

Take a typical day from your program and work backward from the first fixed activity. Check the journey from the actual property, including the time needed to leave rooms, gather the group, and reach transport.

Review the evening journey too. A property that works for the morning visit still needs to fit the group's return arrangements and arrival rules.

Keep location claims tied to a real route and timetable. “Central” is too vague to settle whether a property works for your planned day.

Ask for the details that decide the booking
