A rooming list in brief
- Use a stable reference for each room while its actual room number is unknown.
- Record arrival and departure dates alongside the assigned travelers.
- Match assignments to the room type and occupancy confirmed by the property.
- Give each version a date and an owner.
- Share only the information needed for the recipient's role.

Download the editable Grotels files below, or copy this table into your planning document. Add a row for each room arrangement. If the occupants or dates change during the stay, record that change clearly rather than leaving overlapping versions.

Keep the trip name, property, booking reference, file owner, and revision date with the list. The accompanying CSV version also provides fields for the payer, property room number, and the date of the latest change.
Here is a small illustrative example. The room references and traveler IDs are invented to show how the template works; they represent no real booking.

Leave the confirmed column marked “Awaiting property reply” until the property answers. A request for rooms together should remain a request until the proposed arrangement is confirmed.

Match the list to the confirmed room offer
Read the rooming list against the property's written offer. Check the beds, permitted occupancy, stay dates, and any agreed private use. A room reference such as R-A is your planning label; put the property's room number in a separate field when it becomes available.
Run these checks before sending a version for confirmation:
- Every traveler appears in the intended room arrangement.
- Nobody is assigned twice for the same night.
- The assigned occupants fit the confirmed capacity and bed arrangement.
- Adult rooms and specific placement requests appear in the plan.
- Travelers with different arrival or departure dates are clearly identified.
- Any unresolved request is marked as unresolved.
Confirm the property's required format and deadline for the rooming list. Ask who will acknowledge the assignments and any later changes.
Keep one current version
Choose a person to maintain the master copy. Put its revision date in the filename or document header, and use an agreed location for storing the current version.
When something changes, record the affected room reference, the requested change, and the person responsible for checking it. Mark its status as “sent to property” until the property confirms.
For example, moving an internal traveler ID to a different row updates your plan. It does not by itself confirm that the property has changed the booking or accepted a different occupancy.

Before departure, compare the latest confirmed file with the copy held by the property. Resolve differences while the group still has time to adjust.
Share the details the property needs
Use traveler IDs while planning internally if that suits your process. Before sending the list, ask the property which names and other details it requires, how to send them, and who should receive them.
As a practical approach, keep health records, identity documents, payment-card details, and safeguarding notes out of the general rooming sheet. Handle necessary sensitive information through your organization's approved process and the appropriate recipient.
Give travelers the room information they need without automatically distributing the full group file. After the trip, handle stored copies according to your organization's retention process.
Use the room plan to request accommodation
A draft rooming list can reveal accommodation questions before you book: a missing adult room, a need for private dormitories, or an arrival pattern that changes the room count.
